CGC Airport Transfers (ABN 71 640 883 667) is a small, owner-operated private transfer business on the Gold Coast. This policy explains what personal information we collect when you enquire, get a quote, book or travel with us — on this website, through our AI assistant Cooly, or by phone, text, WhatsApp or email — and how we use, share and protect it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
The short version. We collect what we need to quote, book and run your transfer, plus basic website analytics. Your details go to the driver doing your trip and to the services that run our bookings, payments, messaging and AI assistant — they are never sold. Payments go through Stripe’s secure checkout: we never see your full card number, and our AI assistant never asks for card details. For questions, corrections or deletion, contact admin@cgctransfers.com.au or 0416 131 285.
What we collect
When you get a quote or book on this website
Our booking form asks for your name, email, phone number and whether you’d like transfer updates by SMS or WhatsApp. For the trip itself it collects pick-up and drop-off addresses (and any stops along the way), dates and times, return details, flight numbers, the number of passengers, luggage, children’s ages for child seats, the vehicle, meet & greet, any notes, a coupon code if you have one, and how you heard about us. If you’re booking for someone else, it also collects the passenger’s name and mobile, so please make sure they’re happy for you to share them.
If you arrive from an ad or another website, your booking also records the ad-click identifier (for example from Google), campaign tags and the referring site, so we can see which ads and links bring in bookings.
Unfinished bookings
The booking form saves your details as you fill it in, before you press submit. If you leave part-way, we may use your name and contact details to follow up on that trip, typically with one reminder email, text or WhatsApp. If you’re sent a payment link and don’t pay, our booking system may send up to two reminder emails. These follow-ups relate only to the trip you were booking.
Our AI assistant Cooly — SMS, WhatsApp and website chat
When you message 0485 057 498 by SMS or WhatsApp, or tap ✨ Chat & Book Online on this website, you’re talking to our AI assistant Cooly, and it tells you so in its first reply. We collect your phone number (for SMS and WhatsApp), the messages you exchange and anything you share, such as your name, contact details and trip details. On SMS and WhatsApp it asks for your name and contact details at the start so we can get back to you, but they’re optional. The website chat asks for a mobile number or an email before it starts (your name is optional).
Your messages are processed by Anthropic’s Claude AI model so the assistant can understand them and reply. Fares come straight from our booking system’s fixed price list. The assistant can book trips on our fixed routes and send you a secure Stripe payment link; nothing is held until you pay, and anything outside its scope goes to a person. Reply TALK at any time to reach a person, or STOP to opt out of messages.
We keep conversations so the assistant can pick up where you left off, so a person can take over when needed, and to check the service is working properly. If a conversation stops part-way through a quote or booking, we may be alerted and follow up.
AI assistants booking on your behalf
If your own AI assistant (such as ChatGPT or Claude) gets a quote or starts a booking with us, through our agent gateway or the booking tools built into this website, it sends us the trip and contact details you’ve given it, and we handle them like any other booking. What your assistant does with your information is covered by its provider’s privacy policy.
When you travel with us, contact us or leave a review
We keep the records needed to run your transfer: pick-up times, the flight details we monitor, driver assignment, payment status and messages about your trip, along with your tax invoice. If you phone, text, WhatsApp or email us, we keep what you send so we can help. After your trip we may message you once to ask for a Google review. Reviews published on Google are public, and we display some of them on this website, with the reviewer’s name as it appears on Google.
Website analytics, advertising and cookies
- Google Analytics and Google Ads use cookies to measure visits, clicks on our call, text and email links, quotes, bookings and the ads that lead to them. Google Ads may also use this to show our ads to people who have visited the site. We don’t send Google your name, email or phone number.
- Address suggestions in the booking form come from Google Maps, so what you type into the address fields is sent to Google.
- Our Google reviews widget is loaded from Trustindex.
- Our own cookies: atb_ads remembers the ad or link you first arrived from so it can be attached to your booking; ccr_sid and ccr_src connect an unfinished booking to your visit; and the chat window stores one setting (cgcai_open) in your browser to remember whether it was open.
You can block or delete cookies in your browser settings, manage Google ad personalisation at myadcenter.google.com, and opt out of Google Analytics with Google’s opt-out add-on.
How we use your information
- To quote, book, confirm and run your transfer, including monitoring your flight and passing your details to your driver.
- To send confirmations, tax invoices and transfer updates (the day-before driver details and the on-the-way message) by email, SMS or WhatsApp.
- To take payment through Stripe and handle credits under our booking terms.
- To answer your enquiries, including through our AI assistant Cooly, and to follow up unfinished bookings.
- To ask for a review after your trip.
- To measure how our website and advertising perform, and to improve the service.
- To meet legal obligations, such as keeping tax records, and to resolve disputes.
We don’t sell or rent your personal information.
Who we share it with
- Your driver. Your name, the passenger’s mobile, pick-up and drop-off details, flight and trip notes go to the driver doing your transfer, who may be one of our local partner drivers, usually by text or WhatsApp.
- Service providers that run the business for us: our website host and email delivery; Stripe (payments); Twilio and WhatsApp, owned by Meta (AI assistant messaging); Anthropic (the AI model behind our assistant); Google (analytics, advertising and address search); Trustindex (reviews widget); and a push-notification service that alerts us to new and unfinished enquiries. Each receives only what it needs to do its job.
- Authorities, when the law requires it or where needed to protect someone’s safety.
Information stored overseas
Several of these providers store or process information outside Australia, mainly in the United States and also in the European Union. We use established providers with their own security and privacy commitments, and share only what each one needs.
Keeping it secure
The site runs over HTTPS. Payments happen on Stripe’s hosted checkout, so we never see or store your full card number, and our AI assistant never asks for card details. Only we can access booking and conversation records, along with the systems that run them. No system is perfectly secure, but we take reasonable steps to protect what we hold.
How long we keep it
We keep booking, payment and invoice records for as long as Australian tax law requires, which is generally five years. Unfinished enquiries and AI assistant conversations are kept only as long as they’re useful for completing or following up your booking and checking the service. If you’d like your information deleted, ask and we’ll delete it, unless the law requires us to keep it.
Your choices and rights
- See or correct your information: ask us at any time. We’ll respond within a reasonable time, usually within 30 days.
- Delete it: ask us, subject to the record-keeping above.
- Stop messages: reply STOP to our AI assistant, or tell us you don’t want follow-ups or review requests.
- Stay anonymous: you’re welcome to ask general questions without giving your name, but we need real names and contact details to run a transfer.
- Complaints: contact us first and we’ll do our best to fix it. If you’re not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Children
We collect children’s ages so the right child seats are fitted, and only from the adult making the booking. We don’t knowingly collect personal information directly from children.
Changes to this policy
We’ll update this page when the way we handle information changes. The date at the top shows when it was last revised.
